How do I create a custom form in online check-in?
Create a custom form to ask for extra information in online check-in: add fields, make them required, assign them to properties and edit them.
A custom form lets you ask your guests for extra information during online check-in, such as their town of origin or tax code. Here is how to create and edit it, and which fields you cannot change.
When you need a custom form
The standard Chekin form cannot be edited field by field. To add your own fields or make them mandatory, create a custom form and assign it to your properties.
How to create a custom form
- Open your user menu (bottom left) and go to Account settings.
- Go to the Online Check-in tab and scroll down to Custom forms.
- Click Add Custom Form.
- Enter the Name of the form and choose the country.
- In Select Properties, tick the properties where you want to use it.
- In Form customization, add or adjust the fields (explained below).
- Click Save form, at the top right.
How to add a field
In Form customization you can add, edit and reorder fields, and include new sections with Add custom section.
- Inside the section you want, click Add field.
- Choose the field type: text, date, dropdown, time or file.
- Enter the field name, exactly as the guest will see it.
- If it is a dropdown, add its options.
- Click Save form.
If you need a piece of information that does not exist by default, such as the province or the tax code, create it as a text field.
How to make a field required
On the field you want to require, turn on the Required switch. The guest will not be able to continue the online check-in without filling it in. Then click Save form.
How to ask for a field only from the main guest
Turn on the Only for leader switch on that field. Only the main guest will answer it. If you leave it off, every guest will answer it.
How to assign the form to your properties
Each form applies to the properties you tick in Select Properties. You can change the selection whenever you want and save again.
If you activate the police connection on a property that has a custom form without the fields the police require, Chekin removes it from that form and goes back to using the default form. To use a custom form on that property, create a new one that includes the information the police ask for.
How to edit an existing form
The My Forms section only appears once you have saved at least one custom form.
- If you see it, open the form from My Forms, make your changes and click Save form.
- If in Custom forms you only see Add Custom Form, you are still using the standard form. Create your first custom form following the steps above. From then on, My Forms will appear.
Fields locked by law
The fields required by the law or the police of your country appear locked. They cannot be deleted or edited. The personal data, document and contact sections cannot be removed either.
What "Conditional" means
Conditional is a grey label, with no switch, that appears on the fields of the document data section (the one with a padlock). You do not choose it.
It means that Chekin only asks for that field when it is needed, depending on the document type and the legal requirements of the country where the accommodation is located. That is why it cannot be set as required or optional, or deleted. Use the Required switch for the information you always want to collect and leave the conditional fields as they are.
If a legal field does not appear, check that the police connection is active on the property. The mandatory police fields are activated when you set it up.
What you cannot do with a custom field
- The photo of the passport or ID document is not requested with a custom field. It is requested with Identity Verification.
- The custom fields of the Chekin form are not the custom fields of your PMS. They are different things.
