How to connect PayTourist

A simple and efficient way to communicate your tourist tax data to the municipality directly from your Chekin account

Introduction

Through your municipality’s PayTourist portal, you can register your accommodation, list it, and manage both the payment and reporting of the tourist tax (imposta di soggiorno).

This integration has been specifically designed for all accommodation managers in Italy — from individual hosts with a single property to large hotel chains — who are required to declare guest stays and report the related tourist tax.

If you manage properties in one of the municipalities covered by the PayTourist network, this service is designed to make your life easier.

1) Automatic exception handling

Our system automatically identifies guests who are exempt from paying the tourist tax.
If a guest is under 14 years old or over 80, the system flags it and applies the correct exemption directly in PayTourist — ensuring that no incorrect or inaccurate charges are ever applied.

2) Effortless stay extensions

If a guest extends their stay, you don’t need to do anything.
The system automatically detects the change, treats it as a new stay period, and sends the updated information to PayTourist in the next daily transmission.

3) Transparent reporting and status tracking

Just like with the Police Report feature, every data transmission to PayTourist is logged and visible directly on your Chekin dashboard.
You can see exactly when each booking’s data was sent, check the confirmation status, and access the PDF receipts issued by the authorities — giving you complete traceability over all operations.

How to Connect PayTourist in Chekin

How to generate your PayTourist API Token for integration with Chekin

To connect PayTourist via API, you must first generate a personal access token.
This token acts as a security key that allows Chekin to send your guest data directly to PayTourist.

Follow these steps carefully to create and configure your token correctly.

IMPORTANT: The token must be generated by a user of type “Booking User” (Utente Booking).
Before starting, make sure you are logged into PayTourist using your administrator account.


Step 1) Access the API Access Token section

There are two ways (Method A or Method B) to access the token management screen.

Method A: via profile settings

  1. Log in to your PayTourist account.

  2. In the top green bar on the right, click your account name to open “Profile Info.”

  3. Under your profile image, select “API Access Token.”



Method B: via the “Users” menu

  1. From the main left-hand menu, go to the Users section.

  2. Find the user “Booking User” for whom you want to create the token.

  3. Click Edit for that user.
    You will reach the same token management screen.


Step 2) Create a new token

In the token management screen, you will see a list of any tokens already created.

  1. Click “+ Create New Token.”

  2. Enter a clear and descriptive name — for example, PMS_Integration_Token.

  3. Click the button to confirm and create the token.


Step 3) Save your token securely

⚠️ Attention: This is the most important step.

  1. The system will now display your new personal access token.
    This is the only time the full token will be shown.

  2. Carefully copy the entire token text.

  3. Paste it into a secure text document — ensure there are no extra spaces before or after it and that nothing is altered.

  4. You’ll need this token to configure the connection inside your Chekin dashboard.

IMPORTANT:
If you lose this token, it cannot be recovered.
You’ll need to generate a new one by following these steps again.
It is recommended to delete any old or unused tokens to maintain a high level of security.

 


Step 4) Link the token to the software

Creating the token alone isn’t enough — you must associate it with the correct software to enable data transmission.

  1. Go back to the Booking User profile.

  2. Find the section for software association.

  3. From the dropdown menu of available providers, select “Chekin.”

  4. Click Save (usually at the bottom right) to apply the changes.

    Token management: Expiration and renewal

    Validity: Each token is valid for 12 months.

    Expiration reminder:
    Before the token expires, PayTourist will send you an email reminder so you have time to generate a new one without service interruption.

    Renewal:
    To avoid disruptions, proactively create a new token and delete the old one before it expires.
    After generating the new token, update the integration settings in Chekin with the new code to ensure a smooth, error-free transition.

    Note:
    The Access Token is specific to each accommodation (host) and must be generated by a user from that property’s PayTourist account.
    “The access token is valid for 12 months and must be generated by a ‘Booking’ user in PayTourist.”
    This “Booking” user corresponds to an account within the PayTourist portal of the specific hosting property.

     


    How to find the Room ID

    The partner_room_id is the unique identifier assigned to each room in your property management system.
    This ID is used when sending booking data to PayTourist.

    To find it:

    1. Go to the “Rooms” page from your main dashboard.

    2. Locate the room you want to retrieve the ID for.

    3. The Room ID (partner_room_id) will appear in the dedicated column or room details.

    💡 Tip: Keep an up-to-date list of your Room IDs — this will help you verify that the data sent to PayTourist always matches the correct rooms.


    Then, copy only the number from your Object (XXX #__).



    Sending data to PayTourist

    Data is sent automatically every day at 12:00 PM (UTC) for all bookings whose check-in occurred the previous day.

    Example:
    If a booking has a check-in date of May 20, its data will be sent to PayTourist on May 21 at 12:00 PM UTC.
