Avantio ↔ Chekin Integration

Introduction

If Avantio is your main Property Management System (PMS), you can connect your Avantio account with Chekin to automatically import all your properties and reservations along with their associated data, allowing you to manage everything in a simple and reliable way. This integration helps you automate key check-in processes, reduce manual tasks, and ensure that your guests’ information is always synchronized between both platforms.

This quick guide will help you connect your Avantio account to Chekin and configure the essential settings. Before getting started, make sure you have your Avantio API Key available to create your account on our platform.

🔎 Prerequisites

  • Have an active Avantio account.
  • Obtain your Avantio API key (this can only be requested through the Live Chat available within your Avantio account).

➡️ Steps to connect

  • Step 3: Select the PMS → Avantio.

  • Step 4: Click the ‘Continue’ button
  • Step 5: Enter your API key and click the ‘Connect’ button

At this moment, the integration between Chekin and Avantio is being created. You just need to wait a few minutes, and you will be automatically redirected to your Chekin dashboard. Properties and reservations will be imported automatically, so there is nothing else you need to do except wait for them to appear in your account. Depending on the system’s workload, this process may take anywhere from a few seconds to a couple of minutes.

ℹ️ What data is imported from Avantio into Chekin?

Property Name of the property You will need to fill in the remaining required information to complete the setup for each property.
Bookings Check-in and check-out dates, number of guests, associated property, booking source, booking reference, language, main guest name, phone number, email address. As long as this information is complete in Avantio, it will be automatically imported into your Chekin account.

✅ What data is sent from Chekin to Avantio?

The integration between Chekin and Avantio can operate under two different data-transfer flows for guest information, depending on the user’s operational needs:

1. Standard flow (enabled by default)

This is the default behavior for all accounts integrated with Avantio. No additional configuration is required from the user.

When all guests in a reservation complete their registration in Chekin, the information they provide is automatically sent to the PMS.

This flow ensures that guest data remains synchronized and up to date within the corresponding reservation.

2. Special billing flow (optional activation)

This flow is specifically designed for users who require the main guest to provide all the necessary information needed for invoicing.

To activate it, the user must request it directly from the Chekin support team, as it requires manual activation in our backend.

Once enabled, the system will request the main guest to complete all billing-related information during the check-in process. When this step is completed, Chekin sends the collected data to the PMS, assigning it to the Client field of the reservation in Avantio.

🔵 In our Guestapp, the main guest must confirm that they are the person responsible for the reservation.

⌛ Reservation import times and synchronization ranges

💡Currently, we synchronize all confirmed reservations with a future date. Past reservations or those outside this range are not imported.

💡Regarding reservation synchronization, this process is carried out automatically every hour. We have a scheduled task that runs periodically and is responsible for importing into Chekin any new reservations created in Avantio, as well as updating any reservations that have been modified or cancelled.

ℹ️ Additional information:
If you need a reservation to be imported into Chekin immediately after it has been created in Avantio, you can force a manual synchronization. To do so, log in to your Chekin account, go to the Reservations tab, and click the “Sync bookings” button.
