Summary

Which info is synced with the integration?

  • All listings are imported on the Chekin dashboard. If some info changes on 365Villas side it is automatically updated on Chekin too.

  • Bookings that have check-in date equal to the date of the account creation and onwards will be imported. Past reservations won't be imported.

  • Online Check-in link: is sent from Chekin to you 365Villas account for quick access and shareability.

The connection with 365Villas must be done on the account creation process.

Create a Chekin Account With PMS

You can create on the registration page or by clicking the following button:

  1. From the registration page complete all the required data in the form.

  2. In the option for "Do you want to connect your PMS?" select YES.

  3. Search for 365Villas and select it.

  4. Click on "Continue"

Add 365Villas Required Data

Now you will be require to add the API key, password and token from your 365Villas account to make the connection.


Getting your 365 Villar API Key, Password and Token

1. From 365Villas , click on “Your profile” in the top left corner to open the menu.

2. Click on "API & Integrations" at the bottom of the list.

3. Under "Third-Party Integrations" section, click on "Show more" to display all available integrations, look for "Chekin" and click on it.

4. Here you will see the token, password and key. Copy each value and paste it in in each corresponding field.


Once you've added all the required data, click on "Connect with 365Villas" to finish the process.

After that you will be redirected to the Chekin's Dashboard.

Property and Bookings Import

As soon as your account is created, all your properties and will begin to be imported automatically from your 365Villas account. You can check the progress in the bottom left corner.

Reminder: only bookings that have check-in date equal to the date of the account creation and onwards will be imported. Past reservations won't be imported.

Note: the first import process may take a few minutes depending on the quantity of data that needs to be imported.

First Steps

Complete Property Information

Since 365Villes don't provide enough data of your properties that are required for some Chekin's features, like the police automation, the first step you have to do is to complete the data of your properties.

Properties with status "Incomplete" means that some data is required.

  1. Click on any property to go to the property's settings.

  2. In the Property information section, double check the country and complete any information missing from your property (this is needed to generate the guest registration form).

Activate the Online Check-in Automation

You can activate the Online Check-in automation, to send an email to your your guests so they can register themselves.

Important: Currently, the online check-in automation settings are account wide, meaning, that changes made will apply to ALL of your proeprties.

  1. From the property settings, click on "Online check-in" in the left side menu.

  2. Click the toggle button to activate the automation.

  3. Select the scheduling options that best fit your specific case.

  4. Save changes.

Activate the Police Connection

Police and statistics automation is only available for some countries. For full list of supported countries visit "Legal compliance per country"

With this feature you can connect your accounts with the authorities for an automated registration.

  1. From the property settings, click on "Legal" in the left side menu.

  2. In the "Police Connection" subsection, click the toggle to activate the connection.

  3. Select the authority you'd like to connect and add your credentials.

  4. Click "Validate" to check the credentials connection.

    1. If you have multiple properties registered under the same police account, after validation, a new field called “Property” will be shown; select the corresponding property that will be connected.

  5. Save changes.

Now you are one step closer to automate the guest registration and check-in!

Online Check-in Link in 365Villas

Chekin sends back to your 365Villas account the links of the Online Check-in for all your upcoming bookings. You can share the link with your guests directly form your 365Villas account or even complete a registration yourself if the situations demands it.

You will finde the Online Check-in link in 2 different places.

Booking Reports

  1. From your 365Villas account, go to "Bookings reports" located in business management.

  2. In the bookings table you will find a column named "Arrival form"

  3. Click the form icon to open the online check-in in a new browser tab for that specific reservation.

Reminders

From here you can quickly see if the guest have completed the check-in or not.

  1. From your 365Villas account, go to "Reminders Dashboard" located in the home page.

  2. In the "Checking in" and "Checking out" tables you will find a column named "Arrival form"

  3. Click the "Incomplete" button to open the online check-in in a new browser tab for that specific reservation.

FAQs

Can I use an existing Chekin account to integrate with 365Villas?

Unfortunately not, the connection with 365Villas requires to create a new account. If you already have a Chekin account without the integration, please contact us using the chat or sending an email to [email protected] for further assistance.

Are new reserves imported into Chekin?

Yes! All your 365Villas bookings will be synced in your Chekin account, so you don’t need to create them again.

Is the information of my guests sent to the police automatically?

Yes! If you have added the police credentials into your property then Chekin will send guests data automatically to police on the check-in date at 11:00pm.

Can I send the guests data to the authorities before 11:00pm?

Yes, you can manually send the police registration at any time from the booking details page, as long as the conditions required by the police are met. For example, you can not send registrations before the check-in date for most police authorities.

Can I access the registration documents after the check-in date?

Yes, Chekin generates and stores all the legal documentation in the cloud, you can access all your guests form at any time.
