Create Custom Fields in Cloudbeds for Chekin

We must create 4 Custom Fields:

  • Check in online URL

  • Remote access URL

  • Chekin reservation URL

  • Guest registered status

We must create them in each hotel we have, that is to say, we must repeat the process for each hotel.


Creating custom fields

1. Log in to your Cloudbeds account.

2. In the upper right corner click on Account, then Settings

3. On the next screen, on the left side, click on Guests

4. Then Custom Fields, and Add New

5. Here we have to fill in/select the fields:

Custom field name: Check in online URL (example)

Apply to custom field: Reservation

Maximum characters: 255

Is this field mandatory: No

Where would you like this field to be displayed: Direct Reservations, Internet Booking Engine and Registration Card

What type of field would you like to add: Input Field

Does this field contain any personally identifiable information?: No

6. The Custom Field Name field and the Internal Field Shortcode field will be different depending on the field to be created:

Custom field name

Internal field shortcode

Check in online URL

Remote access URL

Checkin reservation URL

2W-3

Guest registered status

2W-4

7. Click on Save and repeat the process with the rest of the custom fields.


Configure Custom Fields in Cloudbeds template to send the links automatically to the guests.

Once the custom fields have been created, the Placeholders (which must be configured in the template to send the URLs to the guests) will be created automatically.

How to configure the template?

1. In the top right corner click on Account, then Settings.

2. Click on Emails and then, clic on Create template.

3. To add placeholders click on the highlighted field:

4. Select the custom field(s) you want to send and click on the UPLOAD button (this must be repeated for each custom field you want to add in the body of the email).

It will look as follows:

5. Select the added custom field and click on the hyperlink icon:

6. Click on INSERT LINK

It will look like this:

7. Click on the icon:

and should be displayed as in the screenshot below:

8. Then, we must remove the part that says "http://" and it should look like this:

9. Finally, to check that the link is correct click on the code view icon

and verify that it is displayed as follows:
