Guest data in Avantio
When adding a guest in Chekin either via the dashboard or the online check-in, the basic guest data will be also reflected on your Avantio account.
Only the following data is sent to your Avantio account:
Nationality
Birth date
Sex
Document type
Document number
Regarding the age of the guests, in order to have more control over what is considered a baby, child or adult - for any reason as tourist taxes, fees, registration requirements, it is highly important that you configure in Avantio the ages of what each of these groups is considered. Important: This configuration is NOT done in Chekin, but in Avantio directly.
The "default" setting in our system is:
- from 0 - 2 years old = baby
- from 3 to 14 years old = child
- from 15 upwards = adult
However, this is not written in stone, each client is able to configure these settings depending on their business model, their country, etc. For example, we have quite a few clients that set the children age directly from 0 to 12; and others elevate the children age up to 17 years old because of the tourist tax regulations in their countries (for example France).
We highly recommend you double check that the configurations for babies, children and adults make sense with local legislation.
To find the guest data in the Avantio dashboard, go to List of bookings > Bookings, and select any booking.
In the DATA tab, you will find all registered guest data this way:
In the "Client" field you will find the data of the lead guest;
In the "Guests" one, you fill find the data of the lead guest and also the data of the other members of the same reservation:
If I have the Avantio check-in module and want to work with Chekin, what should I do with the Avantio check-in?
On the technical level, it is not possible to run two check-in processes at the same time. Nonetheless, there's an effortless way to switch from the Avantio check-in module to Chekin.
Avantio check-in is a module. That means it can be activated or deactivated at any time. Therefore, if you wish to work with Chekin’s check-in online assure to request deactivation of Avantio Check-in module to the Avantio Support team.
Can I send door lock codes generated in Chekin from Avantio?
One of the coolest things of this integration with Avantio is that actually, if you have the feature Remote access activated in Chekin, we will send back to Avantio a link that redirect to a landing page with the codes of the doors that we generate automatically for you.
How to set the codes sending from your Avantio messagging hub? You have to use Harmony, where you can set conditions of codes sending:
Before doing that it is important that you configure an email "template", which in the picture is named as "Booking paid" and in that email template of course you have to include the link of virtual keys.
In order to configure the booking template you actually have to go to the section "Templates":
Then do the following:
click on Edit and select in the category field the option "Confirmation";
On the right side, select in the Content section the option "Block"
3. Select then electronic lock
4. Add an option in the field "Insert after"
5. Then click on orange button ADD
Always consider that the URL of the virtual keys can't be viewed until the moment the email for booking confirmation is sent, and you can actually see it within the reservation itself in the section "messages" once the email is sent.
